Your workspace, team and roles
Your workspace details, the six roles and what each can do, how to invite and manage teammates, and your own profile, security, notification and appearance settings.
Your workspace is the company your roles, candidates and notes belong to, and everyone in it has one of six roles, from Owner to Coordinator, that decides what they can do. Workspace details are in General and people in Team. Your own name, sign-in and notifications are in Profile, Security and Notifications.
Workspace details
In General:
- Workspace name: the company name people in the workspace see.
- Email domain, such as company.com: suggests addresses when you invite people.
- Company size, Hires a year and Who you hire for: your own company, or clients as an agency.
Choose Save workspace after a change. Manage team opens Team.
The six roles
| Role | What they can do |
|---|---|
| Owner | Everything, including billing and deleting the workspace |
| Admin | Everything except deleting the workspace, including billing and members |
| Recruiter | Runs roles end to end: sourcing, outreach, screens and notes |
| Hiring manager | Their roles, shortlists, scorecards and notes |
| Interviewer | The calls they're on and the notes from them |
| Coordinator | Scheduling, calendars and invites |
Each workspace has one owner, at first the person who created it. Give everyone else the role that matches their part in hiring. A hiring manager who reviews shortlists and reads notes doesn't need Recruiter, and someone who only joins interviews can be an Interviewer. Billing belongs to the owner and admins; see Plans, billing and contact reveals.
Invite people
- In Team, choose Invite people.
- Enter one or more work email addresses, separated by commas, spaces or new lines.
- Choose a Role. The hint under it says what the role allows.
- Choose Send invite.
Addresses already in the workspace or already invited are skipped. Invites expire after 7 days. Under Pending invites, choose Copy link to send an invite yourself, Resend to start the 7 days again, or Revoke to cancel it. People join with the access their role allows. Team also shows how many paid seats are in use.
Manage members
Members lists everyone's name, email, role, status and the date they joined.
- To change someone's role, pick a new one from their Role menu.
- To make someone the owner, choose Owner in their Role menu, then Transfer ownership. The current owner becomes an admin.
- Deactivate, from the menu beside a person: they can't sign in until you choose Reactivate, and their seat frees up. Their notes, scorecards and roles stay.
- Remove from workspace, from the same menu: they lose access straight away and their seat frees up. Notes and scorecards they wrote stay. To bring them back, invite them again.
The owner can't be deactivated or removed, and you can't deactivate or remove yourself.
Your profile and sign-in
In Profile, set your Name, which teammates and candidates see and which Emoti signs your drafts with, and your Title. To use a different email address, choose Change email: Emoti sends a six-digit code to the new address, and the change happens once you enter it.
In Security, change your password, set up Two-step sign-in with an authenticator app and recovery codes, check Signed-in sessions and sign out of any you don't recognise, or delete your account.
Notifications
In Notifications, turn each event on or off for Email and In app. Changes save straight away.
| Notification | When you get it |
|---|---|
| New reply | A candidate replies to a sequence you own |
| Screen completed | A candidate finishes a voice screen and the scorecard is ready |
| Notes ready | Notes from a call you were on are written |
| Applicant needs review | An applicant matches a role's profile and waits for your decision |
| Invite accepted | Someone you invited joins the workspace |
| Weekly summary | A Monday round-up of every role you recruit for |
Appearance
Choose Light, Dark or Match system in Appearance, or from the menu under your name at the bottom of the sidebar. Match system follows your device and switches when it does. The theme applies to the browser you set it in.
