The notetaker and call recording
How the Emoti notetaker joins your calls, the three ways it can join automatically, how it tells people they're recorded, and how to choose the language your notes are written in.
The notetaker is the part of Emoti that joins your calls, records and transcribes them, and writes the notes with the template for each kind of call. You decide how it behaves in Notetaker settings.
How the notetaker joins calls
The notetaker joins calls from your connected calendar. Connect Google Calendar or Microsoft Outlook, and Zoom, Google Meet or Microsoft Teams, in Integrations. After the call, the notes are waiting for you in Conversations.
- Join a call: for a call that isn't on your calendar, open Conversations, choose Join a call, paste the Zoom, Google Meet or Microsoft Teams link and choose Send Emoti to the call. Emoti joins as a named participant and tells everyone it's taking notes.
- Upload a recording: to add a call you recorded somewhere else, choose Upload a recording and pick the audio or video file.
Choose which calls it joins automatically
Under Join calls automatically, pick one of three options:
| Option | What it does |
|---|---|
| All external calls | Joins every call on your calendar that includes someone from outside your workspace. |
| Interviews only | Joins calls that look like interviews or screens: an outside guest, and a role or candidate in the invite. |
| Ask each time | Asks you shortly before each outside call, so you decide call by call. |
All three options are about calls with someone from outside your workspace. A debrief or an intake with only your teammates on it isn't joined automatically, and with Interviews only, a client call with no role or candidate in the invite may not be either. Turn note-taking on for those meetings under Upcoming.
Turn it on or off for one meeting
Upcoming lists the calls on your calendar. Each one has a switch: Taking notes means the notetaker will join, Not joining means it won't. The line at the top shows whether your calendar is connected and which joining option you've chosen.
Tell people the call is recorded
Tell everyone the call is recorded is on by default, and we recommend leaving it on. With it on:
- The calendar invite gets a line saying the call is recorded and transcribed, and what the notes are used for.
- The notetaker joins under the name "Notes for" followed by your name, so it's visible in the participant list.
- It posts a short message in the call chat when recording starts. If anyone asks it to stop, it leaves and deletes the recording.
With it off, the notetaker still appears in the participant list, but nothing else tells people they're recorded. You're then responsible for telling them, and in many places for getting their consent first.
Why disclosure matters
- Candidates expect to be told, and people speak more openly when they know how the notes will be used.
- Recording and consent rules vary by country and region, and in some places everyone on the call must agree before it's recorded.
- This isn't legal advice. If you're not sure what applies to you or the people you speak with, ask your legal team.
- If someone would rather not be recorded, switch the meeting to Not joining and take notes yourself.
Candidates can read what to expect in When your interview is recorded.
Choose the note language
Under Note language, choose Same as the call to write notes in whatever language was spoken most, or pick one: English, Mandarin Chinese, Malay, Hindi, Japanese, German, French, Spanish, Portuguese or Polish. To translate a single section of a note later, see Notes, highlights, transcripts and Ask.
